What is bed-level inventory in hostel software?
Bed-level inventory means treating each bed inside a shared dorm as its own bookable, assignable unit — with its own occupancy, gender rules and locker — instead of managing at the room level the way a hotel PMS does. In EZ2Stay, every dorm is broken down into individual beds; when a reservation comes in, the system auto-assigns a bed by room type, respects gender segmentation on segmented dorms, keeps group bookings on adjacent beds, and gives bottom bunks to guests with accessibility needs first. Reception can always drag-and-drop reassign from the admin calendar if something needs to change by hand.

How it works
- A reservation comes in. Whatever channel it arrived through, the booking lands in EZ2Stay with a room type and dates — the channel manager and PMS are part of the package.
- A bed is assigned automatically. EZ2Stay filters available beds by room type and date range, then applies gender segmentation if that dorm is segmented.
- Groups and accessibility needs are handled. Group bookings get adjacent beds where possible; guests with accessibility needs are assigned bottom bunks first.
- Reception can override by hand. Drag-and-drop reassignment is always available from the admin calendar if a manual change is needed.
- The bed's locker follows it. Each bed carries its own locker code, issued the same way as the bed's other access codes at check-in.

This bed-level allocation runs in production at Popcorn Hostel, Bucharest — 49 beds — where every reservation is auto-assigned down to the bed before the guest ever arrives. Popcorn hasn't installed smart lockers yet, so the one-locker-per-bed pairing ships for properties that have the hardware.
Not a fit if
- You run a hotel with private rooms only — bed-level assignment logic doesn't add anything over simple room booking.
- You want lockers shared between multiple guests, or unassigned — EZ2Stay ties one locker to one bed, not a shared pool.
- You need automatic re-optimization of an entire dorm's layout — auto-assignment runs per new reservation; guests already assigned aren't moved automatically.
